Most metals manufacturers already run a QMS, or are shopping for one, to handle Corrective and Preventive Action (CAPA), Non-Conformance Reports (NCRs), document control, and internal audits. Think of the two systems as covering different halves of the same compliance story.
GoSmarter captures and verifies data at the point material enters the business. It reads the mill certificate, extracts the heat number, chemical composition, and mechanical properties, and links that data to the physical inventory it describes. It tracks that inventory through cutting, allocation to orders, and despatch. It answers the question “where did this material come from, and where did it go?”
A QMS owns the compliance workflow built on top of that data. It manages CAPA, records and investigates non-conformances, controls document versions, and schedules internal audits. It answers the question “what did we do about the problem, and can we prove we followed our own process?”
Neither system does the other’s job well. Most QMS platforms cannot read a PDF and understand that “Rp0.2 = 387 MPa” is a yield strength value within range for the stated grade. So a QMS that also tries to be a traceability platform ends up with quality staff typing certificate values into a form field by hand. Equally, a traceability platform that also tries to run CAPA workflows ends up reinventing document control and audit scheduling badly. That was never its core problem to solve.
Keeping the two systems separate but connected means each one does the job it is actually good at, and the connection between them is where the value sits.
What Breaks Without a Connection
Talk to a quality manager at almost any metals manufacturer and the same three problems come up.
Re-keying certificate data by hand
A certificate arrives as a PDF attached to a delivery. Someone in the quality team opens it, reads the heat number, grade, and mechanical properties, and types them into the QMS’s incoming-inspection record. Every transcription is a chance to get a digit wrong, and at volume, some digits go wrong.
Lag between material receipt and QMS awareness
Material physically arrives, gets logged into inventory, and might even go into production before the QMS record catches up. That happens because someone has to find time to do the manual entry. If a non-conformance needs raising, it often happens days after the material that triggered it has already moved.
No link between a QMS record and the actual material it concerns
A non-conformance record in the QMS says “heat 4471B failed inspection.” Finding every order and every customer that received bars from that heat means going back into a separate inventory system, searching manually, and hoping you haven’t missed anything. The two records exist, but nothing connects them.
None of this is a QMS problem or a GoSmarter problem on its own. It is a gap between two systems that were never told to talk to each other.
What “Good” Integration Actually Requires
Not every QMS can close that gap, even one your team likes for its workflow design. Before you commit to a QMS with metals traceability integration in mind, check it against a short technical list.
A cloud-hosted QMS, not an on-premises client-server tool
If the QMS runs on a local server with no reachable endpoint outside your network, there is nothing to integrate with. A cloud-hosted platform, whether it is Software as a Service (SaaS) or hosted in your own cloud tenancy, is the baseline requirement. Everything else on this list assumes it.
A documented, versioned Representational State Transfer (REST) API or webhook system
Comma-Separated Values (CSV) export and import is better than nothing, but it is a batch process someone has to run, not an integration. Look for a QMS that publishes a REST API with real documentation, or supports webhooks that fire automatically when a record changes. If the only integration path a sales team can point to is “export a CSV nightly,” treat that as a limitation, not a feature.
Support for custom or extensible fields
Heat number, EN 10204 certificate type (3.1 or 3.2), chemical composition, and mechanical properties are specific data points that a generic QMS record schema may not have a native field for. A QMS that lets you add custom fields, or accepts a flexible payload structure, keeps that data intact when it arrives. A QMS that forces every incoming record into a fixed, generic template loses fidelity on exactly the data that matters for a metals audit.
Real-time or near-real-time data flow
A nightly batch sync means the earliest you can raise a non-conformance is the next day. Webhooks or an event-driven integration let a QMS see new certificate data the moment it lands, so a quality engineer can act the same day.
Single sign-on (SSO) support with role-based access aligned to your existing structure
A separate user directory with its own passwords and permissions is one more system for IT to maintain. It is also one more place credentials can drift out of sync with who still works at the company. SSO tied to your existing identity provider keeps access control in one place, with roles that map to your company or group structure.
No proprietary lock-in on your own data
You should be able to get your traceability and quality records back out of the QMS in a usable format whenever you want them, not only through a paid export feature or a support ticket. Data ownership and portability matter as much going out as they do coming in.

The QMS market is broad, and this is not an exhaustive vendor review. It is a rough map to help you evaluate your own shortlist against the requirements above, organised by the kind of buyer each category tends to suit.
Enterprise QMS suites with real APIs

They typically publish genuine APIs and support enterprise identity providers. If your business is large enough to need enterprise QMS capability regardless of GoSmarter, one of these is a strong fit. Small and medium enterprise (SME) QMS tools built around ISO 9001
Platforms such as Conformio and Isolocity target the ISO 9001 certification journey directly and tend to suit businesses closer to the size most GoSmarter customers run at. Check the integration surface carefully before committing. Some SME-focused QMS tools are document-management-first, with export/import as the only way data moves in or out, rather than a genuine API.
Vertical specialists built for regulated industries
Platforms such as Qualio and ZenQMS are built for life sciences and medical device design controls, where lot genealogy and device history records are the whole point of the system. They are not a typical fit for metals manufacturing, but their approach to linking a record back to a specific lot is a useful reference point for what good traceability-aware QMS design looks like.
Manufacturing-native tools

Wherever your shortlist lands, run every candidate through the requirements list in the previous section before you sign anything. A QMS your quality team loves for its workflow design is still the wrong choice if it has no reachable way to receive cert data automatically.
Answering the Auditor’s Hardest Question
The question every metals quality auditor eventually asks is some version of: “Show me the certificate for this material, and every step it went through before it reached the customer.”
That question spans two different jobs. Producing the certificate and proving the chain of custody (heat, delivery, cutting, allocation, despatch) is a traceability question.
